Terms & Conditions
To ensure a safe, respectful, and spiritually enriching experience for everyone, we ask that you review the following Terms and Conditions before your visit.
1. Introduction
These Terms and Conditions (T&Cs) apply to all participants attending Sanctuary at Chartley Manor. By attending the retreat, you agree to abide by these T&Cs.
2. Eligibility
Participation in the retreat is open to individuals who are 18 years or older unless accompanied by a parent or legal guardian.
3. Registration and Payment
A place on the retreat is confirmed on payment of a 20% deposit. The balance of the payment is required 7 days before the retreat commences.
Payments can be made by bank transfer. By prior arrangement with the retreat house, payment may be made in cash on your arrival at the retreat.
Registrations are accepted on a first-come, first-served basis, and spaces are limited.
4. Cancellation and Refund Policy
If you need to cancel your participation, you must notify us in writing at sanctuaryatcm@gmail.com. Cancellations received 14 days before the date of your stay will receive a full refund. No refunds will be issued for cancellations after this date, except in cases of emergency at the discretion of the organisers.
The organisers reserve the right to cancel the retreat due to unforeseen circumstances (eg. natural disasters, health emergencies). In such cases, participants will be notified as soon as possible, and a full refund will be issued. The organisers are not responsible for any additional costs incurred by participants (e.g., travel expenses).
5. Code of Conduct
Participants are expected to conduct themselves in a manner consistent with Christian values, including respect, kindness, and consideration for others.
Disruptive behaviour, including harassment, discrimination, or any form of abuse, will not be tolerated and may result in a guest being asked to leave the retreat without a refund.
6. Health and Safety
Participants must inform the organisers of any pre-existing medical conditions, allergies, or special dietary needs when booking.
Participants are responsible for bringing any necessary medications and ensuring their own health and well-being during the retreat.
The retreat site is a drug-free and alcohol-free environment. Smoking is permitted only in designated areas, if applicable.
In the event of an emergency, participants must follow the instructions of the retreat staff and emergency services.
7. Accommodation and Meals
Participants are expected to respect shared spaces and maintain the cleanliness of their accommodation.
Where meals are being provided, reasonable efforts will be made to accommodate special dietary requirements. Please inform the organisers of any such requirements when booking.
8. Liability
The organizers of the retreat are not liable for any personal injury, loss, or damage to personal property that may occur during the retreat, except in cases of gross negligence.
Participants are encouraged to have appropriate travel and health insurance to cover any unforeseen circumstances.
9. Photography and Media
The retreat may be photographed or recorded for promotional purposes. By attending, you consent to being included in such media. If you do not wish to be photographed or recorded, please inform the organisers in advance.
10. Data Protection
Personal information collected during registration will be handled in accordance with the UK Data Protection Act 2018 and our Privacy Policy. Your information will not be shared with third parties without your consent, except as required by law.
11. Governing Law
These T&Cs and any disputes arising from or related to the retreat shall be governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
12. Agreement
By registering for and attending the retreat, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
